Can ChatGPT read Excel files?
Yes, and that is the easy half. The hard half is whether the number you get back was calculated or predicted — because on a large sheet those stop being the same thing.

Handing a model a spreadsheet gives it rows of text. Ask for a sum and it writes one the way it writes a sentence: by producing the most plausible continuation. On twenty rows that lands on the right answer. On twenty thousand it produces a number that looks entirely reasonable and is wrong.
This is the single thing worth understanding about spreadsheets and language models. Everything else follows from it.
Why large sheets go wrong first
There is a ceiling on how much a model can hold at once. Past it, something has to give: the file gets truncated, or sampled, or summarised before the model ever sees it. The answer then describes a part of your data while sounding like it describes all of it.
The failure is quiet by nature. Nothing errors, nothing warns, and the figure arrives with the same confidence as a correct one.
How to tell whether a figure was computed
Ask how many rows the file has and check it against the sheet. Ask for the same total twice in separate messages and see whether it comes back identical. Ask for a total you already know.
A tool that calculates gives the same answer every time and gets the row count exactly right. A tool that predicts is close, confident and slightly different each time.
What it is genuinely good at
Explaining a spreadsheet somebody else built — what the columns mean, which ones are derived, where the assumptions are buried. Writing the formula or the pivot you could not remember. Describing shape and structure. Finding the wording for a column you cannot name.
These are language jobs, and the ones where the technology is genuinely better than the alternative rather than merely faster.
Getting the file in
Upload the .xlsx rather than pasting the rows into the message — pasted tables lose their alignment and take the meaning of the columns with them. If a sheet has merged header cells or a title sitting above the real header, say so, because that is where most misreadings start.
A workbook with several sheets needs the sheet named. Ask about “the data” in a five-tab file and the answer will be about whichever tab it happened to read.
No, it will not edit your file
Sorting, editing and saving over your workbook are not things these tools do, and that is worth being glad about rather than disappointed by. What you get back is text and figures you apply yourself, which means an incorrect answer costs you a moment rather than your data.
What does help is asking for the change rather than the file: the formula to put in the cell, the steps that rebuild the pivot, the filter that isolates the rows you are after. You keep the workbook, and you keep the record of what was done to it — which matters more than it sounds when somebody asks in March why a figure moved in January.
The way CypherScan does it
